ITH collects and processes personal information and business information provided through the SMART 2.0 Portal for the purpose of enabling SME onboarding, account management, business verification, travel booking, travel administration, and related services.

Information We Collect

Depending on the services requested, we may collect and process:

A. Administrator / Authorized Representative Information

  • Name
  • Official email address
  • Mobile number
  • Designation
  • Login credentials and authentication information

B. Business Information

  • Company name and registered address
  • GST Number
  • PAN
  • CIN
  • MSME Registration Number
  • Other business verification information

C. Traveller / End User Information

  • Name, gender, date of birth and contact details
  • Government-issued identification details required for travel bookings
  • Passport and visa information
  • Frequent flyer and travel preference details
  • Emergency contact information
  • Travel itineraries and booking-related information
  • Any other information required by airlines, hotels, visa authorities, transport providers, or regulatory authorities

Purpose of Processing

We process the information for the following purposes:

  1. Creation and management of user accounts on the SMART 2.0 Portal.
  2. Authentication and access management, including OTP-based verification.
  3. Verification of business credentials and KYC information through authorized third-party verification services.
  4. Processing and fulfilment of travel bookings, visa assistance, accommodation reservations, transportation arrangements, and related travel services.
  5. Administration of travel approvals, reporting, expense management, and customer support.
  6. Compliance with applicable legal, regulatory, tax, accounting, and contractual obligations.
  7. Service improvement, analytics, fraud prevention, information security monitoring, and operational management.
  8. Personalization of travel services and user experience, where applicable.

Sharing of Information

Your information may be shared with:

  • Airlines, hotels, visa processing agencies, transport providers, travel service partners, and other travel ecosystem participants necessary for service delivery.
  • KYC verification and technology service providers engaged by ITH.
  • Regulatory, judicial, law enforcement, or governmental authorities where required by applicable law.
  • Group companies and authorized service providers supporting the operation of the portal and related services.

Such disclosures will be limited to information necessary for the relevant purpose.

Data Retention

ITH shall retain personal information only for as long as necessary to fulfil the purposes described above, comply with applicable legal, regulatory, accounting, tax, contractual, and audit requirements, resolve disputes, enforce agreements, or protect legal rights.

Upon expiry of applicable retention requirements, information will be deleted, anonymized, or securely disposed of in accordance with applicable policies and legal requirements.

Authorized Representative Declaration

By registering on behalf of an organization, you represent and warrant that:

  • You are duly authorized to create and administer the organization's account.
  • Information provided by you is accurate and complete.
  • Where you provide personal information relating to employees, travellers, or other individuals, you have obtained all necessary authorizations, permissions, notices, or consents required under applicable laws and organizational policies.
